Position Overview:

We are seeking a detail-oriented and highly organized Closing Coordinator / Acquisitions Coordinator to manage all aspects of the transaction process from contract to close. This role is critical to ensuring accuracy, compliance, and efficiency across multiple deals while serving as the primary liaison between stakeholders.


Job Responsibilities

Key Responsibilities

Transaction Management

  • Track all deal milestones from contract execution through closing.
  • Maintain detailed closing checklists for each transaction.
  • Monitor timelines and ensure all contractual deadlines are met.

Document Control

  • Collect, review, and organize due diligence materials (title commitments, surveys, zoning reports, estoppels).
  • Verify accuracy of contract terms in closing documents.
  • Ensure required signatures and approvals are obtained on time.

Stakeholder Coordination

  • Act as primary liaison between buyers, sellers, brokers, attorneys, title companies, lenders, and inspectors.
  • Schedule and coordinate inspections, appraisals, and assessments.
  • Facilitate communication to prevent delays and ensure smooth transactions.

Compliance & Risk Management

  • Confirm all documentation meets legal, regulatory, and contractual standards.
  • Monitor contingency periods (financing, due diligence, zoning, etc.) and send timely reminders.
  • Identify potential closing risks and proactively address issues.

Closing Preparation

  • Collaborate with title/escrow officers to prepare settlement statements.
  • Confirm wire instructions, closing figures, and funding timelines.
  • Oversee execution and delivery of all final documents.

Post-Closing Follow-Up

  • Distribute executed closing documents to all parties.
  • Ensure escrow disbursements are processed and recorded.
  • Track post-closing obligations (tenant notifications, prorations, deposits).


Job Requirements

Skills & Qualifications

  • Strong knowledge of commercial real estate contracts, title/survey review, escrow, and financing processes.
  • Familiarity with zoning, environmental, and due diligence requirements.
  • Proficiency with transaction management software (HubSpot or similar).
  • Advanced Excel and document formatting skills for financial and closing statements.
  • Experience managing digital document systems and secure file sharing.
  • Exceptional attention to detail with the ability to manage multiple deals simultaneously.
  • Clear and professional written and verbal communication skills.
  • Strong diplomacy and stakeholder management abilities.
  • Resourceful problem-solver with the ability to anticipate and resolve challenges.

Performance Expectations

  • No missed contractual deadlines.
  • 100% completion of due diligence checklists.
  • Positive feedback from brokers, attorneys, and clients.
  • Minimal last-minute issues at the closing table.
  • Accurate and timely post-closing follow-up.

Work Schedule & Compensation

  • Remote position with flexibility in schedule (must align with East Coast New York Time zone U.S. business hours).
